Data Handling Notice

How CAQA AI handles information collected through this website and client material used in AI advisory engagements.

Purpose

This Data Handling Notice explains how CAQA AI, part of CAQA Groups and Career Calling International Pty Ltd (ABN 53 162 651 238), handles the information collected through this website and the client material entrusted to us during AI advisory engagements. It supplements our Privacy Policy, which sets out our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Information collected through this website

This website collects only what you choose to give us and standard technical data. If you submit the contact form or subscribe to the newsletter, we collect your name, email address, organisation and message so we can respond and, where you have opted in, send relevant updates. Like most websites, we also receive routine technical information such as browser type, pages visited and approximate location, used in aggregate to understand how the site is used. Cookies and analytics can be controlled through your browser settings. This website does not sell products, take bookings or process payments, so no payment card or billing information is collected through it.

Client engagement material

AI governance work often requires access to sensitive material: policies, procedures, risk registers, staff and student communications, vendor contracts and sample data. Engagement material is used only for the purposes of the agreed scope of work, is accessible only to the team members working on the engagement, and is handled under the confidentiality obligations in our Client Engagement Terms. We ask clients not to send unnecessary personal information, and to de-identify sample data where the engagement does not require identified records.

How we use AI tools with your data

Because our work involves AI systems, we are explicit about how they touch client data. We do not enter client-confidential material or personal information into public AI tools that retain inputs or use them for model training. Where AI tools are used in an engagement, we select configurations and vendors whose terms restrict retention and training use, and we disclose material AI use to the client. Assistants and automations built for clients run on the client's own knowledge base under access controls agreed with the client; the client's content remains the client's.

Storage and security

Information is stored in access-controlled systems available only to authorised CAQA Groups personnel. We apply administrative and technical safeguards appropriate to the sensitivity of the material, including access limitation, authentication controls and staff confidentiality obligations. Some service providers we use to operate our systems may store data outside Australia; where that occurs, we take reasonable steps to ensure comparable protection, as described in the Privacy Policy.

Retention and return

Website enquiry records are retained only as long as needed to manage the enquiry and any resulting relationship, and to meet legal and accounting obligations. At the end of an engagement, client material is returned or securely deleted on request, subject to any records we are required to retain for professional, insurance or legal purposes; anything retained continues to be held under the same confidentiality obligations.

Your choices and rights

You can browse this website without providing personal information. You can unsubscribe from the newsletter at any time using the link in any email. You may request access to, or correction of, the personal information we hold about you, and you may ask us to delete information we no longer need, using the contact details below. Complaints about data handling are managed through our Complaints and Feedback process and may be escalated to the Office of the Australian Information Commissioner.
